Equipment Hire Terms & Conditions

  1. Hire Periods
    1.1 All equipment hired on a dry hire basis must be returned or made available for collection at or before the agreed time specified in the hire agreement. Failure to do so will result in the Hirer being charged the daily hire rate for each outstanding item, or the total amount of any consequential losses arising from late return, whichever is greater. Time is of the essence in relation to this clause.

  2. Payment Terms
    2.1 All hire fees, including any applicable deposits, must be paid in full by debit or credit card prior to or at the time of collection or delivery of the equipment. Equipment will not be released without full payment.

    2.2 Approved invoiced clients must settle all outstanding fees within seven (7) calendar days of the invoice date. Late payments will incur daily interest charges of 5% of the outstanding balance, calculated on a daily basis, up to a maximum of thirty-one (31) days. If payment remains outstanding beyond this period, Cyndeo Events LTD reserves the right to pursue legal action, including but not limited to court proceedings, to recover the outstanding sum. Payments by cheque are not accepted without prior written agreement.

  3. Deposits and Identification
    3.1 Deposits are payable at the time of booking and are non-refundable in the event of loss, theft, or damage to the hired equipment.

    3.2 The Hirer must provide valid photographic identification (such as a passport or driving licence) at the time of hire. ID will be retained by Cyndeo Events LTD until all equipment is returned in satisfactory condition. This requirement may be waived at the sole discretion of Cyndeo Events LTD for deliveries to residential addresses, council authorities, corporate clients, or pre-approved customers. Failure to provide identification will result in refusal of hire.

    3.3 The Hirer must have appropriate insurance in place to cover the full replacement value of the equipment against loss, theft, or damage during the hire period, including during transportation.

  4. Ownership
    4.1 All hired equipment remains the property of Cyndeo Events LTD at all times. The Hirer shall not sell, lease, sub-hire, modify, tamper with, or otherwise dispose of the equipment. The Hirer must notify Cyndeo Events LTD of the equipment’s location upon request at any time during the hire period.

  5. Cancellation Policy
    5.1 Cancellations made with less than fourteen (14) calendar days' notice will incur the full hire fee.

    5.2 Cancellations made with more than fourteen (14) calendar days' notice but less than thirty-one (31) calendar days' notice will incur a cancellation fee of 75% of the agreed hire fee.

    5.3 No refunds will be issued under any circumstances. Payments are made on a non-refundable basis.

    5.4 In the unlikely event that Cyndeo Events LTD is unable to fulfil its obligations, its liability will be limited to the agreed hire fee. Cyndeo Events LTD will not be liable for any consequential or indirect losses.

  6. Force Majeure
    6.1 Cyndeo Events LTD will not be liable for any failure to supply goods or services caused by events beyond its reasonable control, including but not limited to acts of God, war, terrorism, extreme weather conditions, or public health emergencies. Where public authorities advise against non-essential travel, Cyndeo Events LTD’s services shall not be deemed essential.

  7. Condition of Equipment
    7.1 All equipment is inspected, tested, and supplied in full working order and in good physical condition. The Hirer accepts the equipment in its current state upon collection or delivery. Any faults or discrepancies must be reported within two (2) hours of receipt by calling the company mobile number 020 8050 4750. Text messages, emails, or landline calls will not be accepted as valid notifications.

    7.2 Cyndeo Events LTD reserves the right to provide like-for-like replacement equipment in the event of a reported fault.

  8. Use of Equipment
    8.1 The Hirer is responsible for ensuring that the equipment is suitable for its intended purpose and used in accordance with all manufacturer guidelines and legal requirements.

    8.2 Any misuse, unauthorised modification, or unsafe use of the equipment will entitle Cyndeo Events LTD to recover the equipment immediately without notice or refund. The Hirer shall be liable for any damage caused by such misuse.

    8.3 The Hirer must comply with all instructions given by authorities, including police or local council representatives, regarding noise levels and operation of the equipment. Failure to comply will render the Hirer liable for any fines, claims, or consequential losses arising from non-compliance.

  9. Repairs and Servicing
    9.1 The Hirer must not attempt to service or repair any equipment without prior written consent from Cyndeo Events LTD, except for the replacement of user-serviceable fuses and lamps with manufacturer-specified parts.

    9.2 Any unauthorised repairs or tampering will invalidate warranties and result in the Hirer being liable for the full replacement cost of the equipment.

  10. Loss, Theft, or Damage
    10.1 The Hirer is liable for the full replacement cost of any equipment that is lost, stolen, or damaged during the hire period, except where such loss or damage arises from Cyndeo Events LTD’s own negligence.

    10.2 Deposits will be forfeited in the event of loss, theft, or damage. Where no deposit is taken, the Hirer authorises Cyndeo Events LTD to charge the full replacement cost to any debit or credit card used to pay for the hire.

    10.3 Cyndeo Events LTD reserves the right to charge debit or credit cards up to fourteen (14) days after the hire period to allow for fault diagnosis and assessment of damages.

  11. Equipment Failure
    11.1 Cyndeo Events LTD will not be liable for any direct or consequential losses arising from equipment failure unless caused by Cyndeo Events LTD’s negligence.

  12. Electricity Supply
    12.1 The Hirer must not use generators to power equipment without prior written permission. Unauthorised generator use will render the Hirer liable for any resulting damage and entitle Cyndeo Events LTD to recover the equipment immediately.

  13. Equipment Dimensions
    13.1 Dimensions and weights of equipment are available upon request. It is the Hirer’s responsibility to ensure that equipment can be transported and accommodated safely.

  14. Delivery and Collection
    14.1 Delivery and collection services are subject to availability. The Hirer must be present to receive and return equipment at the agreed time. Missed deliveries or collections will incur additional charges.
